[CCGP Info] Updates for School Counseling Accountability

School Counselors

In response to the needs of school counselors across the state, Kim and I have taken a look at the accountability requirements and have worked to eliminate some of the barriers that impact counselors' ability to spend time with students .  We have three exciting announcements that we hope will support the counselors in their efforts to meet the needs of each student.

  1.  Online Self-Evaluation: We, USBE, will no longer require the school counselors to submit an online self-evaluation at the end of the school year.  It is still recommended that school counseling teams complete the self-evaluation<https://www.schools.utah.gov/file/817f17b1-59d8-433c-8530-17d3c3810070> on an annual basis and keep the completed document in their evidence box for future reference.  It will be determined by the leadership of each LEA how they want to monitor and oversee this process at a local level.  The online version of the review document still has this showing under the School Counselor Checklist indicators on pg. 15.  Please note this indicator will be removed in future versions and printed copies provided during Updates and Essentials Trainings.

  1.  Electronic Evidence Box Guide: During the formal review process, which is every 6 years, it is required that counselors provide evidence through the Electronic Evidence Box.  We have heard from the field that many are creating documents or feel they must spend extra time providing all the required documents.  With a committee of district leaders and working school counselors we have taken the feedback and revised the Evidence Box Guide<https://www.schools.utah.gov/file/34c8ba16-0e96-49af-b32c-bdc392ebdbea>.  Highlighting some of the biggest changes, you will see there are no longer specifically required documents, elimination of duplicate documents or the need to create new documents just for the review purpose.  Basically, this evidence box should be the school counselors working files and record of how they are meeting student needs. The evidence box will still be sent, through LEA leadership, 30 days prior to the review.  However this can now be done through either Adobe PDF Portfolio or Google Drive.  To help assist the school counselors and leaders in better understanding the purpose and organization of the evidence box, we will be hosting a live webinar on October 24, 2018.  There will be two opportunities that day to participate (8:00-9:00 AM or 3:00-4:00 PM).  It will also be recorded for later review if necessary.

  1.  Counselor-Principal Agreement: One of the requests from the field was a tool to help with the School Counselor-Principal Agreement<file://usoe-fs2/sascep/School%20Counseling%20Program/Principal-Counselor%20Agreement%20Form/Principal%20%20Counselor%20Agreement%20(updated%202018).pdf>.  This document is not required as a source of evidence, but may be used to help support the conversations regarding the role and duties of school counselors with their administration.
